Our client, a boutique financial services firm, is seeking a proactive and highly organized Executive Assistant to support their leadership team. This individual will play a key role in ensuring operational efficiency, maintaining strong client relationships, and providing administrative support.
Key Responsibilities
Calendar & Data Management
- Schedule and reschedule meetings via phone and email.
- Send meeting reminders and ensure leadership is well-prepared.
- Assist with data entry and tracking of referrals and key contacts.
Client Engagement
- Coordinate and plan client events.
- Manage client marketing communications.
- Oversee and execute the client gifting program.
Office & Team Support
- Provide general administrative support, including note-taking, document management, mail sorting, and data organization.
- Plan and coordinate team lunches, dinners, and off-site events.
- Arrange travel, including flights, accommodations, and conference registrations.
- Maintain an organized office environment, including ordering supplies and ensuring efficiency.
Qualifications
- 5-10+ years of professional experience, preferably in financial services.
- 5+ years in an administrative or executive support role.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities, with the capability to manage multiple priorities.
- Proficiency in Microsoft Office and an aptitude for learning new software systems.
- Ability to handle sensitive information with discretion and confidentiality.
- A proactive and adaptable mindset, with a "customer-first" mentality.
Compensation: $80-100k base salary
