Our client, a boutique financial services firm, is seeking a proactive and highly organized Executive Assistant to support their leadership team. This individual will play a key role in ensuring operational efficiency, maintaining strong client relationships, and providing administrative support.


Key Responsibilities


Calendar & Data Management

  • Schedule and reschedule meetings via phone and email.
  • Send meeting reminders and ensure leadership is well-prepared.
  • Assist with data entry and tracking of referrals and key contacts.


Client Engagement

  • Coordinate and plan client events.
  • Manage client marketing communications.
  • Oversee and execute the client gifting program.


Office & Team Support

  • Provide general administrative support, including note-taking, document management, mail sorting, and data organization.
  • Plan and coordinate team lunches, dinners, and off-site events.
  • Arrange travel, including flights, accommodations, and conference registrations.
  • Maintain an organized office environment, including ordering supplies and ensuring efficiency.


Qualifications

  • 5-10+ years of professional experience, preferably in financial services.
  • 5+ years in an administrative or executive support role.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities, with the capability to manage multiple priorities.
  • Proficiency in Microsoft Office and an aptitude for learning new software systems.
  • Ability to handle sensitive information with discretion and confidentiality.
  • A proactive and adaptable mindset, with a "customer-first" mentality.


Compensation: $80-100k base salary
